POSITION:               Senior Administrative Manager

DEPARTMENT:      Workforce Development

REPORTS TO: Vice President of Workforce Development

 

Primary Function

Assist with supervising staff, facilitating communication throughout the Workforce Development Center, and developing procedures to make the workplace more efficient.  This position serves as the second point of contact for the Workforce Development Center.

 

Principal Accountabilities

Accountable for achieving WFD contractual outcomes and performance measures.

 

Duties and Responsibilities

Essential:

  • Assist the Vice President of Workforce Development with guiding Workforce Development Center activities
  • Identify opportunities to improve the Center’s policies, objectives, and outcomes
  • Ensure the Center is operating securely and effectively
  • Prepare and review programmatic and administrative reports
  • Lead and/or participate in internal and external meetings
  • Provide staff support when and assist with performance monitoring
  • Assign work schedules to ensure quality and timely delivery of service
  • Provide corrective actions to address performance problems
  • Provide support with completing grant applications, proposals, and documentation required for grant submittal
  • Prepare and review departmental communications
  • Lead and/or participate in all WFD events.
  • Perform quarterly quality assurance reviews with staff and their client cases
  • Submit weekly, bi-weekly, monthly reports (including personnel, critical incident reports, etc.)
  • Generate client data for outcomes reporting
  • Assists with audits and program monitoring as required
  • Ensure all staff maintain complete and accurate documentation of service objectives and outcomes as well as other services in accordance with city, federal, state, county and private funding guidelines
  • Performs other administrative duties as requested
  • Maintains compliance with all government regulations.

Perform other duties as assigned.

Supervision

Administrative management and supervision of the WFD Team

Interaction:

This position requires the individual to work closely with other department manager, executives, funders, and community stakeholders.

 

Knowledge and Skills

  • Preferred bachelor’s degree with 5-7 years’ experience in a high-level administrative capacity.
  • Experience in any/all of the following: operations, supervision, tracking, coaching,
  • Excellent oral and written communication skills.
  • Strong interpersonal skills.
  • Proficient in Microsoft Office Suite, Excel, and MS Word.
  • Strong organization and time management skills.
  • The ability to work well under pressure in a fast-paced environment.
  • Must be able to work independently and collaboratively within a team environment.
  • Provide own transportation and adequate insurance.
  • Must maintain a valid driver’s license and clear driving record.
